7 Tips for Successful Implementation of Workforce Communication Technology: A Co-Founder’s Perspective

In one of our recent blog posts titled A Revolution is Afoot, we highlighted three drivers behind the growing trend in enterprise mobility: reduced IT costs, BYOD adoption, and an increase in entrepreneurship, among others. In response to this trend, we demonstrated how mobile messaging apps for business are the solution to keeping your teams connected. To that end, we wanted to arm IT Managers and CIO’s with a few helpful tips for extracting the greatest amount of business value from a mobile messaging app before and after deployment. And who better to do it than our co-founder Jason Krigsfeld, who has supported numerous company-wide technology rollouts? We asked him to take a look at our current clients and highlight key factors for a successful implementation:

Bring Your Directory To Life

Implementing and using brand new software can be an exciting, yet daunting proposition for your employees. Having the software mirror your organization’s structure, its departments, positions, roles, and intrinsic relationships, can really make your staff feel like the experience is tailored for them. Images are great too, whether it is the company logo or your employees’ faces in the directory. These simple steps not only bring the software to life, but also ensure a smoother implementation.

Who Said What?

A business can really extract value from analytics provided by communication software. Managers are often forced to make operational decisions based on qualitative information; real, quantitative data about business communication and processes can provide a more complete picture to base decisions on. Choose an application that gives you an in-depth look at where communication is happening in the organization: are the employees on the ground connecting with their managers? Are they interacting with each other? When managers know who is communicating, how frequently they engage their colleagues, and also how effectively they do so, they can make better assessments of their operational efficiency.

Connectivity Is King

In the age of smartphones and tablets, connectivity is king. Weak network coverage can really hurt the productivity of your dispersed employees, forcing them to deviate from their intended paths in search for areas of strong signal. Know your internal network and the reliability of your chosen cell carrier so that your employees and managers can maintain reliable, real-time communication.

Sharing is Caring

If your business communication technology enables robust file sharing, have everyone make full use of it! A discussion is only effective when all parties know exactly what they are talking about, wherever they are. In addition, when the files are constantly synced on a reliable cloud platform, you can be sure that knowledge shared by any employee will be retained even if they leave the organization.

Treat the Battery Well

Once communication apps play a central role within your business communication strategy, battery life inevitably becomes a cause for concern. The following best practices help your employees conserve battery power on their devices:

1. Lower the brightness on their devices as much as possible

2. In areas where your employees are unsure of the availability of WiFi networks, have them turn off WiFi mode – searching for WiFi networks drains batteries

3. Bluetooth is yet another silent battery killer. If employees are not using connected Bluetooth devices, turn off Bluetooth.

Go Native

While many communication apps can be linked to SMS and email, and others are mobile Web apps accessible through the browser, use the native application whenever possible. Native apps have a significant edge in leveraging the functionality of the mobile device (such as the camera and GPS), deliver more customized user experiences, and handle data much more quickly because they do not rely heavily on the Internet and network speed.

Push Notifications are Essential

Have your employees enable push notifications on their mobile devices. Without notifications, users have to regularly monitor their apps to receive messages. On iOS, have your employees tie their communication app to the dock; on Android, have them download the app’s home screen widget if there is one. Recommending changes to device settings can be a delicate balance  when the device is used for work and personal, but employees not receiving critical communication can really hurt a business.
